Privacy Notice

Effective July 25, 2026

1. Scope and responsible company

This notice describes how Problem Media LLC (“Problem,” “we,” “us,” or “our”) handles personal information in Management for approved Problem team members, invited client users, and people whose information is included in an authorized project. The client or another organization may be responsible for some project information under its own agreement and privacy obligations.

2. Information we collect

Depending on how Management is used, we may process account identifiers, names, business contact information, profile images, authentication and consent records, client-portal assignments, project communications, tasks, approvals, schedules, file names and links, support requests, device and browser information, IP-derived security information, access logs, and work history. We also process information a user chooses to retrieve from or provide through connected services.

3. Sources of information

Information may come directly from users; from Problem personnel or a client that invites a user; from project collaborators; from Google Workspace and other services a user authorizes; and automatically from the application, hosting provider, security controls, and normal server logs.

4. Why we use information

We use information to authenticate users, provide agency and project-management services, operate and personalize authorized workspaces, coordinate tasks and communications, provide connected features, maintain approvals and work history, respond to support and privacy requests, prevent abuse, investigate security events, improve reliability, enforce agreements, and comply with legal obligations.

5. Google user data

When an approved Problem team member connects Google Workspace, Management requests Google profile, Drive, and Calendar access for the features shown in the product. Management does not request or read team member Gmail at sign-in. Shared Drive access is restricted in the application to Management owners and admins and to the versioned Management Shared Drive. We use Google data only to provide or improve those user-facing features, secure the service, and comply with law. We do not use Google user data for advertising or sell it. Use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

6. AI-assisted processing

Authorized users may ask Management to retrieve, organize, draft, or summarize project information using approved AI providers. We send only the content and context reasonably needed to complete the requested feature. AI output is subject to human review. We do not send client passwords or authentication secrets to AI providers, and we do not use client workspace content to build an unrelated advertising profile.

7. How information is disclosed

Information may be disclosed to authorized Problem personnel, the applicable client and its authorized collaborators, and vendors that support hosting, databases, authentication, communications, Google integrations, email, file processing, security, and AI-assisted features. We may also disclose information when required by law, to protect rights or safety, to investigate abuse, in connection with a business transaction, or with the user’s or client’s direction. Vendors are permitted to process information only for authorized services and applicable legal obligations.

8. No sale or behavioral advertising

Management is a private business service. We do not sell personal information and do not share personal information for cross-context behavioral advertising. Management does not serve third-party advertising.

9. Client workspaces and access

Client accounts are intended to be limited to their assigned portal and work. Problem team members may have broader access when needed to operate Management and deliver an engagement. Clients control whom they ask Problem to invite and should avoid submitting personal information that is unnecessary for the project.

10. Retention and deletion

We retain information for the duration of an engagement and for reasonable operational, contractual, security, backup, dispute-resolution, and legal periods afterward. Retention depends on the type of record and the applicable agreement. Access is revoked when it is no longer authorized. When information is no longer reasonably needed, we delete, de-identify, or isolate it from ordinary use, subject to backup cycles and legal requirements. We do not use production client content in public demonstrations or local test fixtures.

11. Security

We use administrative, technical, and organizational safeguards designed for the nature of the service, including encrypted transport, scoped client access, time-limited sessions, credential hashing, access revocation, input validation, security headers, audit history, and service-provider controls. No method of transmission or storage is completely secure. Please report suspected unauthorized access promptly through the contact below and review our Security Overview.

12. Privacy choices and requests

Depending on applicable law and your relationship with Problem, you may request access to, correction of, or deletion of personal information, or ask questions about how it is used. We may need to verify identity and authority before completing a request. Some information may be retained where required for security, contracts, legal obligations, or the rights of others. If information was provided by a client, we may refer the request to that client.

13. California notice

California residents may have rights to know the categories and specific pieces of personal information collected, request correction or deletion, and receive equal service when exercising privacy rights, subject to legal exceptions. Because Management does not sell personal information or share it for cross-context behavioral advertising, we do not offer a sale or advertising opt-out for this service.

14. Children

Management is a business service for authorized adults and is not directed to children under 13. We do not knowingly create accounts for children. Contact us if you believe a child has provided personal information through Management without appropriate authorization.

15. International processing

Problem and its service providers may process information in the United States and other locations where they operate. When required, appropriate contractual or legal safeguards will be used for international transfers.

16. Changes to this notice

We may update this notice as Management, our providers, or legal requirements change. Material updates will be identified by a new effective date and may be presented for renewed acknowledgment.
